Conditions for registration and participation

The scope of these Terms and Conditions encompasses all offers of University Sports of the University of Hohenheim.
By booking a place in a sports activity or course the participant agrees to these terms and conditions.

The following people are eligible to participate in university sports:

  • All students enrolled at the University of Hohenheim
  • Staff of the University of Hohenheim
  • Staff of the Studierendenwerk Tübingen-Hohenheim
  • Students enrolled in cooperative degree programs of the Universities of Stuttgart and Hohenheim who are enrolled at the University of Stuttgart.
  • Only if spots are open in a course: Members of the Universitätsbund Hohenheim and the Hohenheim Alumni Network (see guest regulations).

Eligibility must be proven at the time of registration by providing the student's matriculation number (for students) or the official telephone number (for staff).
Students from cooperative degree programs can request an individual matriculation number by sending an email and submitting a certificate of enrollment before the registration phase. With this matriculation number, which is only valid for the sports program, students of the cooperative study programs from Stuttgart can register for the university sports courses at the student rates.

Participants must be able to prove they are authorized to participate at any time upon request to the employees of the university sports, the exercise instructors, or other persons officially representing the university, by presenting the participation ticket and the student or employee ID.

Underage students must present a declaration of consent from their parents before they participate in the sports program. If this is not available at the start of the course, students must inform the instructor immediately. Underage students who do not provide informed consent will not be allowed to participate in the course.

If there are free capacities in individual offers, guests can participate in the sports courses of the university sports, provided that they are members of the Universitätsbund Hohenheim or the alumni network.

Registration for members of the Alumni Network and the Universitätsbund Hohenheim is possible three working days after the official registration deadline and only if there are open spots in the course. The University Sports Department reserves the right to exclude guests from these offers in the event of high demand, even if spots are open at the start of the course.

Guests who are minors are excluded from participating in sports courses.

Online registration is required for all courses. The registration is binding and obligates you to pay the fee regardless of whether or not you attend the course.

By sending the online registration, these conditions of participation are accepted. Participants will receive a printable booking confirmation via email, which must be brought to all class dates and presented upon request by the instructor or a member of the University Sports staff.

Cancellation of booked offers without payment of the course fee is only possible up to three working days before the second course date mentioned on the Internet and can be done either by email or in person at the sports office.

If someone joins the course after it has started, cancellation without payment of the course fee is possible up to a maximum of 7 days after the registration date.

If at the time of the cancellation the direct debit of the course fee has already been initiated, a handling fee of € 5 will be charged due to the increased workload.

You cannot pass your spot in a sports course to someone else. In justified cases, University Sports reserves the right to make exceptions.

A transfer to another course is only possible up to three working days before the second course date of the booked course stated on the Internet and if there are still places available in the new course to which the transfer is desired. There will be no refund of course fees due to rebooking, but the fee will be credited against the fee difference of the new course. If rebooking to a more expensive course, the difference will be due.

Other cancellation conditions may apply for trips, workshops, and events. These can be found under the respective entry.

The time scope of the courses is specified in the program announcement. However, there is no claim to all dates being carried out. Individual event dates may be cancelled if:

  • the course day falls on a public holiday or in the lecture-free period (including Christmas vacations, Pentecost vacations),
  • force majeure is present,
  • the sports facility is required for holding German University Championships or other major events,
  • unavoidable disruptions to the operating process such as construction work, repairs, etc. occur,
  • a course instructor is unable to attend and University Sports is unable to find a qualified replacement on short notice,
  • due to adverse weather conditions for outdoor courses, it is not possible to hold the course date,
  • not enough participants sign up to allow a reasonable realization of the sports course.
  • courses take place in municipal or private sports facilities, whose operating times may be different.
  • in case of late appearance, the instructor may refuse to allow the participant to join.

In the above-mentioned cases, there is no claim for reimbursement on the part of the participants.

University Sports may combine courses or cancel them altogether if, for example, a minimum number of participants is not reached. Participants who have already paid the fee at the time of cancellation or change may take another course of their choice in the current program, subject to availability.

It is also possible for the participants concerned to withdraw from booked courses if they do not take place. Any fees already paid will then be refunded without deductions; there is no further entitlement.

The sports facilities may only be entered with clean indoor shoes with light-colored soles. The sports shoes must be suitable for the sport. This rule applies to all indoor sports courses.

Shoes for clay courts are obligatory on the tennis courts (no outward protruding tread).

If there are further regulations for sportswear for special sports, these are mentioned in the sport description.

Access to the sports facilities is only permitted within the scope of the booked sports courses. Course instructors, janitors, and other representatives of the University Sports Department are authorized and required to deny access to unauthorized persons.

Hohenheim University Sports may use images and sound recordings that are made as part of the sports offered by the University Sports and on which participants are depicted for reporting (print, web, social media), its own advertising purposes, and for archiving.
