The Research and Transfer Services Department (formerly: Research Support Department) would like to draw your attention to a few points and offer assistance.

Renaming and restructuring of AF
As you have probably noticed, the Research Support Department has been renamed Research and Transfer Services Department. As part of this process, AF has been divided into four divisions and one staff unit:
- AF1: Legal Support for Research
- AF2: National Research and Grant Proposal Support
- AF3: Transfer: Invention and Start-Up Support
- AF4: Excellence Strategy and Research Structures
- European and International Research Funding Support (EU-Office)

Joint competence teams with the Financial Department (AW)
In order to provide seamless and well-coordinated support for your applications, AF-AW competence teams were formed for the various funding lines so that inquiries—wherever they are received—are answered in a coordinated manner. Contact information
Research information in HohCampus/Research (HisInOne-RES)
Since 2022, our central campus management system HohCampus has included a function for recording and displaying the individual research achievements (publications and projects) of researchers at the UHOH in the research section (HisInOne-RES).
How is this data collected?
Publikations in RES:
The recording of publications by members of the UHOH is carried out as quickly as possible via the KIM. The main source of data is the bibliographic references from licensed bibliographic databases such as Scopus, CAB abstracts, WISO, Business Source Premier, and Google Scholar. The publication type “Quick entry” is available for additional publication reports by users (e.g., monographs, conference and anthology contributions). Only a few mandatory fields need to be filled in here. The information entered there is validated by KIM, i.e., supplemented and revised if necessary.

Projekts in RES
The Research and Transfer Services Department create all known new research projects in RES and enters the basic data as soon as a notice of approval is received. Researchers can also create planned projects themselves and edit their own projects. They can make an important contribution to improving searchability by adding and maintaining keywords and descriptive texts.
In any case, as the project manager, you decide for yourself whether the information about the project is only visible to project participants or to the wider public (within/outside the university) by selecting the appropriate option (Visibility).

Public presentation:
RES will be the database for presenting information on publications and projects on the new UHOH website in the future. The web editorial team is currently working on implementing a corresponding interface.
RES, third-party funding notification, and project acceptance
The submission of third-party funding notifications and the acceptance of new projects by the university will also be carried out via RES in the near future. AF is working closely with AW and KIM on the technical and administrative implementation and plans to introduce it gradually over the course of the year.

Construction measures for research projects
Construction measures require a long lead time. A construction measure can be as simple as a gas or electrical connection. If you would like to apply for research projects for which construction measures will be necessary, please contact the Construction and Property Management Department in advance for advice. Invention disclosures
If you have made an invention (or believe one to be possible), please contact AF as early as possible to ensure the correct procedure is followed. Please avoid anything that could be detrimental to the novelty of the invention, such as publications, including lectures and papers. Ethics Committee
Upon request, scientists at the University of Hohenheim can have the ethical aspects of their individual research projects reviewed and assessed by the Ethics Committee. Are you interested in starting a business? The Sofa Talk with our Start-up Advisor offers you the ideal opportunity to clarify any questions you may have in a relaxed atmosphere. The format is aimed at doctoral students, employees, graduates, and students who are interested in the topic of self-employment - whether as a full-time or part-time activity. Without registration or preparation, you can talk directly to the start-up advisor and discuss your individual concerns. Use of genetic resources (Nagoya Protocol)
If you work with genetic resources or related traditional knowledge from other countries, you may be required to comply with the obligations of the Nagoya Protocol. Please contact the Nagoya Protocol Service Team: nagoya@verwaltung.uni-hohenheim.de. Further Information
Use of Core Facility (CFH), the Experiment Station, and the University fleet, etc. in research projects (Internal cost allocation)
If fee-based services provided by shared facilities at the university are used, coverage gaps may arise in project accounting. To minimize these in advance, please contact AF. Further Information
Project participation agreements for students in projects
If students (or persons not employed by the UHOH) are involved in a specific research project with external partners, please always contact AF to ensure that the participation of these persons is contractually secure. Further Information
Project participation of temporary staff
If you wish to employ staff via a third-party funded project who have already been or are currently employed at the University of Hohenheim on a temporary basis for a longer period of time, please have this checked by the responsible personnel administrators in APO
In addition, we kindly ask you to note the following administrative points when submitting your application:
Submitting applications to federal ministries
All applications and declarations that must be submitted as part of the application process and signed in a legally binding manner (declaration of facts relevant to the grant) must be signed by the rector or his representatives.
Please contact AF for this purpose. These applications are submitted via easy-online by AF.
Please do not submit without prior consultation and do NOT use the newly offered TAN procedure. Further Information
Overhead costs for third-party funding
For indirect costs, i.e., for the use of university infrastructure or administration, overhead costs must be included in the project budget, provided that the approval and contract conditions of the third-party funding provider allow this.
Please note that the BMLEH (Federal Ministry of Agriculture, Food and Regional Identity) also generally grants a overhead coverage of up to 10% of the total amount of the estimated personnel expenses. Please remember to take this into account in your calculation when submitting your proposal, as the overhead for all BMLEH projects will be deducted upon project acceptance.

Projects that extend beyond your term of service
If you apply for projects that extend beyond your personal term of service, this must be agreed in advance with the relevant executive director. Please note that in such cases, funding applications must be co-signed by the executive director upon submission. This constitutes a binding commitment to use the institute's resources for the entire duration of the project.
Legally binding signature
Only the President of the University or his authorized representatives can provide a legally binding signature for the UHOH. Signing without authorization can pose significant risks for the university and for you personally. AF will be happy to obtain the legally binding signature for you. Please plan at least two business days for this, as we only submit documents that were properly checked and the process takes some time.
Legally binding signatures in electronic form are possible at UHOH, but must first be discussed in advance with the Research and Transfer Department.
Sending documents/contracts
Please note that AF cannot send (signed) contracts and project documents to third parties/project partners. This is the responsibility of the departments. Exceptions are time-sensitive applications, which can be sent directly to the project sponsor after consultation with the AF administrator.
Contract language
Please note that AF only accepts contracts in German or English for review, negotiation, and signing. If a contract cannot be submitted in one of these languages, a professional translation/technical translation must be obtained, the costs of which will be charged to the project budget. Please clarify this issue with your project partners in good time, as a procurement process may also have to be initiated.
